Automatic Document Scanning

Less Typing. Faster Check-In.

Guests photograph their passport or ID document and Sincro tries to automatically fill in the possible data in the form. Guests confirm or correct it before continuing — nothing is ever shown as confirmed without that step.

How It Works

Four steps, on the guest's side, with no extra setup for the host.

Step 1

Opens the Check-in Form

The guest accesses the property's form, on their phone or computer.

Step 2

Photographs the Document (Front and Back)

Takes a photo of the front and back of their passport or ID card.

Step 3

Sincro Reads the Possible Data

The system tries to automatically fill in the document's fields, directly on the guest's device.

Step 4

The Guest Confirms or Corrects

The filled-in fields can always be reviewed and corrected before continuing the form.

What Makes This Reading Reliable

It's not guesswork: the main fields are mathematically validated before being filled in.

Less Typing

The main document fields are automatically pre-filled, one at a time.

Check-Digit Validation

Document number, date of birth and expiry date are confirmed using the machine-readable zone's official check digit — the same mechanism used at airports.

Always Confirmed by the Guest

Extracted data can always be confirmed or corrected before submitting the form. Nothing is sent without this step.

Processed on the Device

Reading happens on the guest's own phone or computer — the image is never sent to an external text-recognition service.

What Can Be Filled In Automatically

Usually filled in from the document scan
  • First and last name (when reading confidence is high enough)
  • Date of birth
  • Document number
  • Nationality
  • Document type (passport or ID card)
Still needs manual confirmation
  • Exact address/residence (suggested from nationality, always editable)
  • Stay dates
  • Extra fields configured by the host
  • Any field read with low confidence (left blank on purpose)

Each field is only filled in when there is enough confidence in the reading. It works with passports and ID cards that have a machine-readable zone (MRZ) — covering the vast majority of documents issued today. Without that zone, the form still works normally with manual entry.

Privacy and Security

Reading the document happens directly on the guest's device — the image is never sent to an external text-recognition service. Only the final image (already watermarked) is stored, for the same retention period as the guest's other data.
